So, how do we bring these two very different wedding celebrations together seamlessly? As a wedding planner and DJ duo, we’ve seen what works and what doesn’t. Keep reading for all our best insight into planning a seamless transition from wedding ceremony to reception.

Create A Clear Timeline

The first and most important thing you can do to ensure a smooth transition is to have a clear wedding day timeline. This should outline every event of the day, especially from the end of the ceremony to the start of the reception. Include buffer times for travel and unexpected delays. Once this timeline is finalized, make sure to share it with all of your vendors. This will keep everyone on the same page and ensure your entire wedding day team can help coordinate the transition between events.

Have a First Look

Having a First Look is always a good idea to create a smooth wedding day. A First Look allows you to get most of your photos done before your wedding ceremony, meaning you’ll get to enjoy your cocktail hour! If you have a gap between your ceremony and cocktail hour due to a venue change, you can use this time to freshen up and take family photos. Either way, you’ll be grateful to have the extra time. 

Choose your Cocktail Hour Location Wisely

Cocktail Hour is an important time during the wedding day. It’s when guests are first able to relax after the ceremony and the first time they get to eat and drink. To make this a smooth period, ensure your cocktail hour space has everything your guests need. This includes a well-staffed bar, good music, tables, and some chairs for elderly guests, as well as proximity to restrooms. If any of these aren’t easily available to guests, they’re more likely to wander into other areas of the venue, which can cause confusion. 

Display Your Seating Chart in Cocktail Hour

One of the best things you can do to ensure a smooth flow into your wedding reception is to place your seating chart or escort cards at cocktail hour. If you place your seating chart in the cocktail hour space, guests will have plenty of time to note their table number. In contrast, placing it at the reception space entrance often causes a bottleneck, and guests can take quite a long time to get to their seats. Even worse, guests feel rushed and crowded trying to find their names. We always recommend that our couples display their seating chart early for a smooth transition.

For Weddings With Separate Ceremony and Reception Venues:

If your wedding ceremony and reception are at two different locations, you should take some additional steps to ensure a smooth flow on your wedding day. 

Offer Transportation

If your reception venue is a significant distance from the ceremony location, consider hiring shuttle services to transport guests. Depending on the timing of the day, you can offer transportation directly from one venue to the other or a shuttle from the hotel to the reception. Either way, setting a scheduled pickup will ensure everyone knows exactly when to be ready for the second part of the day. 

Avoid A Long Break

We generally recommend that our couples avoid a break any longer than 1.5 hours between the ceremony and cocktail hour. While a break can be a great chance for guests to freshen up at the hotel and get from point A to point B, a long break is awkward. Guests often don’t know what to do with this time, and guests often start drinking at the hotel bar. The last thing you want is guests showing up to your cocktail hour already intoxicated. An hour-and-a-half break is the perfect amount of time to grab some family photos and touch up your makeup before heading over to continue the celebration.
